When submitting notifications of student status changes (i.e. temporary absence, return from absence, withdrawal, study abroad), please write the specific formats and submit to the graduates section, after obtaining the approval of your academic advisor.
Petition forms
※ Please download your needed form, print it out and write your petition. When printing, please use A4-size white paper.
Please note that applications for temporary absence, return from absence and study abroad must be submitted after the payment of the tuition fees to the graduates section prior to the deadlines below (but not later than one month before the occurrence of the situation).
Submission Deadlines of Applications to the graduates section:
- For changes during the 1st semester: end day of February
- For changes during the 2nd semester: end day of August
Please note that your petition may not be allowed in case of submission past the above dates or if you have not paid tuition fees.
※ In particular, in case of temporary absence or withdrawal, if you leave without submitting a petition you will be obliged to pay tuition fees for the next semester.
Notes
Tuition fees for suspension, reinstatement, and withdrawal shall be collected in two terms, with the first term from April to September and the second term from October to March.
Where to submit your petition
Please submit to the Graduates Section of the Graduate School of Information Science and Technology (Suita).
Temporary Absence
In case of interruption of studies for more than 3 months for unavoidable circumstances as illnesses, temporary absence is allowed provided the Dean's permission.
1. The period of absence does not count as enrollment duration.
2. Temporary absence cannot exceed 2 years for the master course program, or 3 years for the doctor course program.
3. Tuition fees in case of temporary absence are treated as below:
- In case of absence from the start of the first or of the second semester, tuition fees for that semester are exempted.
- In case of absence after the start of the semester, tuition fees for that semester must be paid. (Please note that tuition fees may be reduced only if a petition was submitted, by the end of April for the 1st semester, and by the end of October for the 2nd semester, and the necessary procedure was performed prior to the determined dates).
4. Students who are receiving a scholarship from the Japan Organization for Student Services must make a petition to the Student Center as well.
Return from absence
1. In case of returning to study during the permitted period of temporary absence, you must submit a "Return Petition".
2. You will be automatically considered as returned when the permitted period of temporary absence expires. For temporary absence extensions, please submit a "Temporary Absence Petition".
3. Students who are receiving a scholarship from the Japan Organization for Student Services must make a petition to the Student Center as well.
Withdrawal
Drop out from studies can be done provided the Dean's permission.
1. In case of withdrawal after the start of the semester, tuition fees for that semester must be paid.
(Please note that tuition fees may be reduced only if a petition was submitted, by the end of April for the 1st semester, and by the end of October for the 2nd semester, and the necessary procedure was performed prior to the determined dates.)
2. Persons who withdraw must return their student ID cards.
3. Students who are receiving a scholarship from the Japan Organization for Student Services must make a petition to the Student Center as well.
Overseas study
If you wish to study in a graduate school overseas, you must obtain Dean's approval.
Please attach a copy of the admission certificate from the graduate school where you plan to study or an alternative document.
1. As a rule, overseas study is defined as a dispatch to a graduate school, on the basis of a student exchange agreement signed by our university together with a university abroad.
2. Credits and research guidance credited by the graduate school where you are dispatched can be accepted as credits or research guidance needed for graduation, if they are approved as necessary by your academic advisors and by the Graduate School Board.
3. Students who are receiving a scholarship from the Japan Organization for Student Services must make a petition to the Student Center as well.

(Note) If you leave our university temporarily to enroll in an overseas educational institution with which there is no exchange agreement signed on overseas study purposes (including language studies, etc.), your absence will be treated as temporary absence, and not as overseas study.
